1st Executive Ltd currently holds some of your personal data which we will continue to hold and process through the condition of legal obligation in order to fulfil our obligations as an employer.

Types of Data:

1st Executive Ltd holds any data that you have provided to us directly, including and not limited to:

Name

Contact Details: Address, Postcode, Telephone Number, Email Address

CV Details: Job titles, previous employers names, Education, Graduation Year

Other details: Salary, Pension Contribution, NI Number, Date of birth, Copy of passport, Bank details, copy of P45/P46 and P60.


Purpose of processing:

1st Executive Ltd will continue to process your data in order to fulfil our duties as an employer.

Data Retention:

1st Executive Ltd will retain your personal data only for as long as is necessary. Different laws require us to keep different data for different periods of time.

1st Executive Ltd must also keep your payroll records, holiday pay, sick pay and pension’s auto-enrolment records for as long as is legally required by HMRC and associated national minimum wage, social security and tax legislation.

Sharing data:

1st Executive Ltd will only share your data if we are legally required to as an employer, for example HMRC.

We will only share your data with any third parties outside of legal requirements if there is a legitimate business requirement to do so, which you will be informed of.

Security of your personal information;

1st Executive Ltd house your data on a secured server, encrypted and securely backed up.

All of the software used to process and store your data is password protected and is accessed by authorised employees only.

Your rights:

You have the right to access any personal information that 1st Executive Ltd processes about you and to request information about: -

  • What personal data we hold about you
  • The purposes of the processing
  • The categories of personal data concerned
  • The recipients to whom the personal data has/will be disclosed
  • How long we intend to store your personal data for
  • If we did not collect the data directly form you, information about the source

If you believe that we hold any incomplete or inaccurate data about you, you have the right to ask us to correct and/or complete the information and we will strive to update/correct it as quickly as possible; unless there is a valid reason for not doing so, at which point you will be notified.

You also have the right to request erasure of your personal data or to restrict processing in accordance with data protection laws, as well as to object to any direct marketing from us and to be informed about any automated decision-making that we use.

If we receive a request from you to exercise any of the above rights, we may ask you to verify your identity before acting on the relevant request; this is to ensure that your data is protected and kept secure.
