What are we trying to achieve?

The implementation of a HR Portal that will provide a focal point for all HR services, knowledge, and systems. A single source for HR and employees to obtain access to HR services, knowledge, and systems. Bringing together the various systems and sources of information, thus providing clarity to our colleagues.

Required Skills

Knowledge of HR Processes and operating model

Experience with HR Ticket/Case Management systems (i.e. BMC/DWP/BWF)

Highly organised and able to collate information from multiple sources

Collaborative, goal orientated, driving people to achieve a common goal

Experience of Knowledge Management and associated processes (desirable)

Project Management experience (desirable)

How are we going to achieve this?

  1. Develop a HR Knowledgebase and engaging front end, for three user groups: HR, Line Managers, and Employees. The knowledgebase will include:
  2. HR polices and processes
  3. Workday processes
  4. General HR Advisory information, per country. This is expected to be delivered via third party subscription services e.g. HR Inform (annual opex expected)
  5. employee entitlements, by country
  6. Develop easy to use and understand Standard Operating Procedure (SOP) documentation
  7. Identify documentation gaps and create new where required (Policy to work instruction)
  8. Develop and implement appropriate Meta data across all HR documentation
  9. Define HR documentation owners and review cycles

  1. In support of Tier 0 / Self Service resolutions to HR queries we will develop an optimised search capability for HR knowledge ('google for HR'), developing a level of intelligent assistance. Extending to the use of a HR Chat Bot.

  1. Provide a route to access all HR applications that are relevant to each employee, utilising single sign on where possible (SSO).

  1. Explore the use of products such as WalkMe and AppLearn to provide assistance with HR process execution and access to HR knowledge.

  1. HR Ticket Management, the existing system has been in use since 2020 in the UK/US, the addition of more People Services and HR teams is adding complexity to the existing setup. Review the business requirements/aims and implement required improvements.

Why are we doing this?

We have various systems and sources of information, which vary by location, this causes confusion as to how and where employees should go to obtain the support they are looking for. This portal will provide a standard entry point to HR, to drive up adoption and increase the level of self-service activity and to enable regional people services. This is an area our colleagues are struggling with, and is leading to mistakes, reduced efficiency, and the perception of a poor HR service.

This is an urgent requirement so if it is of interest please apply ASAP.
